1. Who we are

Pipeline OS (“we”, “us”, “our”) is a software service that helps businesses generate marketing content, capture leads and manage sales follow-ups. This Privacy Policy explains what personal information we collect when you use our website and app, why we collect it, and the choices you have.

2. Information we collect

• Account details you give us: your name, email address, business name, country and password (passwords are stored only in encrypted form by our authentication provider).
• Workspace details you enter: your website and social profile URLs, sales goals, plan choice and content preferences.
• Content you create or generate in the app, including posts, leads you capture or enter, and messages you draft or send.
• Connected account information: if you connect Facebook, Instagram or LinkedIn, we store the account identifiers and access tokens needed to publish and read on your behalf. We only receive this after you explicitly authorise it.
• Usage and technical data: pages visited, actions taken in the app, device and browser type, and IP address, used to operate and improve the service.
• Billing details: when payments are enabled, payment card details are processed by our payment provider and are never stored on our servers.

3. How we use your information

• To provide the service: create and maintain your account, generate and schedule content, capture and score leads, and draft follow-ups.
• To publish to your connected social accounts, only when you have scheduled or approved content.
• To process payments and manage your subscription.
• To communicate with you about your account, product updates and support requests.
• To monitor performance, fix problems and improve the product.
• To meet legal, tax and accounting obligations.

4. Legal bases (EEA and UK visitors)

Where data protection law requires a legal basis, we process personal information on the basis of: performing our contract with you (providing the service), our legitimate interests (securing and improving the product, unless overridden by your rights), your consent (connecting social accounts, optional marketing emails), and compliance with legal obligations.

5. Social platform connections

When you connect Facebook, Instagram or LinkedIn, you authorise us through those platforms' own consent screens. We request only the permissions needed to list your Pages and profiles, read basic engagement data, and publish content you have created or approved. We do not access the data of anyone else, we do not sell platform data, and you can disconnect any account at any time in Settings. Disconnecting stops future access and removes the stored tokens.

6. Sharing your information

We do not sell your personal information. We share it only with service providers that help us run Pipeline OS (cloud hosting and database, authentication, email delivery, payment processing and AI content generation), with the social platforms you choose to connect, and where required by law. Providers are bound to use your information only to deliver their service to us.

7. International transfers

Our service providers may process data in countries other than your own, including the United States. Where required, we rely on appropriate safeguards such as standard contractual clauses for transfers of personal data.

8. Data retention

We keep your account and workspace data while your account is active. If you delete your account we delete or anonymise your personal information within a reasonable period, except where we must keep it for legal, tax or accounting reasons. Backups are purged on a rolling cycle.

9. Security

We use industry-standard measures including encrypted connections (HTTPS), encrypted storage of credentials, row-level access controls on our database, and least-privilege access for staff. No method of transmission or storage is perfectly secure, but we work to protect your information and will notify you of any breach where the law requires it.

10. Your rights

• Access the personal information we hold about you.
• Correct inaccurate or incomplete information.
• Delete your account and personal information.
• Export your data in a portable format on request.
• Object to or restrict certain processing, and withdraw consent where processing is based on consent.
• Complain to your local data protection authority (for example the Office of the Privacy Commissioner in New Zealand, the OAIC in Australia, or the ICO in the UK).

11. Cookies

We use essential cookies and similar technologies to keep you signed in and make the app work, and basic analytics to understand how the product is used. We do not use advertising trackers.

12. Children

Pipeline OS is a business tool and is not directed at children under 16. We do not knowingly collect personal information from children.

13. Changes to this policy

If we make material changes to this Privacy Policy we will update the date below and, where appropriate, notify you by email or in the app. The current version always applies.
